Job Summary

The Diabetes Scheduler  is responsible for answering all incoming phone calls, scheduling/rescheduling and confirming patients’ appointments, and verifying insurance.

Job Responsibilities

  1. Answers all incoming phone calls within Physician Associates phone standards.
  2. Responds to questions or refers to the appropriate staff member.
  3. Tracks patients’ referrals and ensure that patients are scheduled.
  4. Schedules, reschedules and confirms appointments.
  5. Verifies eligibility and coverage for Diabetes Self-Management Training (DSMT) and Medical Nutrition Therapy (MNT) as required by health plans for all patients.
  6. Obtains referral authorization if require by the health plan.
  7. Greets patients at their appointments.
  8. Reviews new patients’ registration and enters in designated system.
  9. Collects co-pay during patients’ appointments.
  10. Maintains patient and diabetes program records.
  11. Performs data entry for the diabetes program data collection.
  12. Types reports and letters, and files appropriately.
  13. Organizes and maintains the diabetes program environment.
  14. Maintains supplies.
  15. Performs additional duties related to the diabetes program as required.

Physical Requirements

  1. Ability to see, hear, speak and write clearly. 
  2. Ability to sit for several hours at a time.
  3. Ability to work on a computer.
  4. Ability to travel to other diabetes program locations.
  5. Ability to work some evening and Saturday hours.
  6. Ability to lift minimally.
  7. Ability to perform fine motor functions.
  8. Ability to tolerate periods of high stress.

Education/ Experience/ Requirements

  1. High school diploma or GED. Experience can substitute for education.
  2. Previous experience in a physician’s office, clinic or hospital.
  3. Medical terminology knowledge.
  4. Experience scheduling health care appointments.
  5. Knowledge of medical insurance/authorization process.
  6. Customer service experience.
  7. Familiarization with computers.
