STATEMENT OF POST-INTERVEW COMMUNICATION INTEGRITY

Definition: Post interview communications integrity in the context of an obstetrics and gynecology residency refers to the commitment of the program to maintain a fair, transparent, and respectful communication process with applicants after the completion of interviews. It aims to uphold professionalism, ethical conduct, and confidentiality while providing timely and accurate information to all applicants.  Our form of communication is non-binding and intended to promote the interest in the residency program when establishing a rank list. 

Overview: Our obstetrics and gynecology residency program places a high value on maintaining a standard of integrity throughout the application process. This includes the post interview phase, where we understand the significance of effective communication with all applicants. Our commitment to post interview communications integrity ensures that each applicant is treated with respect and fairness while receiving clear and timely updates about their application status.  The program is specifically committed to recruiting a diverse workforce, including under-represented in medicine physicians and those with specific and advanced career interests in research or generalist obstetric and gynecology care.  All individuals participating in the recruitment process will be responsible to adhering to the rules listed below.

Program Communication Policy:

  1. Confidentiality: All information gathered during the interview process will be treated as confidential and will only be shared among the members of the admissions committee on a need-to-know basis. Personal information and interview details will not be disclosed outside of the selection committee.
  2. Timely Updates: We will strive to communicate with applicants in a timely manner after the interview process is complete. While the actual date for providing updates may vary depending on the overall application timeline, we will make every effort to inform candidates within the communicated timeframe.
  3. Consistent and Transparent Information: Post-interview communication from the program will be limited to applicant driven requests and responses. All applicants will receive consistent and transparent information regarding their application status and any additional information regarding the program. Any updates or decisions will be communicated clearly and honestly.  We will not use misleading language and make statements regarding the applicant’s likelihood to match.
  4. Point of Contact: We will designate a specific individual or department to handle applicant communications. This designated person will be the primary point of contact for inquiries and updates, ensuring that all information is conveyed accurately and efficiently.  Program representatives will not make unsolicited individualized contact with the applicant.
  5. No Post-Interview Advantage: No applicant will be given an advantage or preference based on their post-interview communication with the program. All applicants will be evaluated solely on the merits of their application, interview performance, and alignment with the program's goals and values.

Applicant Communication Overview:

  1. Acknowledgment of Receipt: Once the interview process is complete, we will send an acknowledgment of receipt to all applicants to confirm that their application and interview materials have been received.
  2. Expected Timeline: Applicants will follow the timeline of the match process.  The program will adhere to this timeline and will not deviate from regulations established by NRMP.
  3. Decision Notifications: The decision notification will be conveyed per NRMP guidelines with sensitivity and respect for the effort and time each applicant invested in the application process.
  4. Feedback Policy: While we understand the value of feedback, we regret that we will not be able to provide individualized feedback to applicants due to the volume of applications we receive and the constraints of the selection process.  We strongly discourage routine thank you notes or emails as such communications will not routinely receive a reply.
  5. Communication Policy: After the interview process, applicants are welcome to e-mail the program residents, faculty, or leadership with any questions.  Applicants are not obliged to reply to any communications and lack of communication will not impact their status on matching.
  6. Equal Treatment: All applicants will be treated equally in terms of communication. No applicant will receive preferential treatment in receiving updates or decisions.
